Capability Statement
A concise marketing document a US contractor gives to agencies, summarizing what it does, its credentials, and how to buy from it.
What is Capability Statement?
A capability statement is a short marketing document — conventionally one page — that a government contractor uses to introduce itself to contracting officers, small-business specialists, and prime contractors. It is not a regulated form, but it is a near-universal convention in US federal business development. Its purpose is to let a busy buyer quickly grasp what the firm does, prove it is credible, and find the data needed to do business with it.
A strong capability statement typically includes: a core-competencies summary in the buyer's language; differentiators that set the firm apart; past performance (relevant contracts and outcomes); and a company-data block listing the firm's identifiers and codes — UEI, CAGE code, applicable NAICS codes, and any socio-economic certifications (such as small-business, 8(a), WOSB, SDVOSB, or HUBZone status) — plus point-of-contact details. Tailoring the document to the target agency's mission and NAICS focus is what separates an effective statement from a generic brochure.
For vendors, the capability statement is the artifact handed over at matchmaking events, attached to introductory emails, and left after a meeting with a small-business office. Keeping the identifiers (UEI, CAGE, NAICS) consistent with the firm's SAM.gov registration matters, because that is how a buyer verifies and then finds the firm.
Example
Before a federal matchmaking session, a small IT firm prints a one-page capability statement listing its core competencies, two relevant past-performance contracts, and a data block with its UEI, CAGE code, NAICS 541512, and 8(a) status.
